Luxembourg for Finance (LFF), the agency responsible for developing and promoting Luxembourg’s financial centre, is seeking a highly organised and experienced Executive Assistant (full-time) to reinforce its administration team.

Your responsibilities:

In this role, you will play a key part in ensuring the smooth day-to-day operations of the organisation. Your responsibilities will include:

  • Providing high-level administrative and organisational support to management, including agenda management, meeting coordination, and stakeholder interactions such as with public administration and government departments (in particular the Ministry of Finance), as well as representatives of the financial industry in Luxembourg and abroad.
  • Coordinating and managing international travel arrangements for the team
  • Managing targeted projects, ensuring timely delivery, alignment with organisational objectives, and effective collaboration across internal teams and external stakeholders
  • Processing travel expenses
  • Managing incoming and outgoing mail (including postal and courier services) and email communications, ensuring timely, accurate, and efficient information flow
  • Maintaining digital and physical filing systems, ensuring data accuracy and up-to-date records (including CRM/database management)
  • Welcoming and assisting visitors and guests, ensuring a high standard of service
  • Managing office supplies, catering, deliveries and procurement
  • Supporting event and communication-related projects, including the preparation of badges, printed materials, and parcels

Your profile: 

  • Minimum of 5 years’ experience in a similar administrative or executive support role
  • Excellent interpersonal and communication skills, with a high degree of professionalism, adaptability, and service-oriented approach
  • Well developed organisational and problem-solving skills
  • Strong attention to detail
  • Ability to prioritise tasks, meet tight deadlines
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with databases/CRM tools (e.g. Salesforce)
  • Fluency in English and French; any additional language is considered an asset
  • Good understanding of Luxembourg’s financial sector is an advantage
